Groups & Permissions

Groups let you control which processes each department or team can see. With two types of groups you can model everything from full transparency to completely restricted access.

User roles

Before understanding groups, it's important to know the roles available in Mapaflow:

A

ADMIN

Company owner in Mapaflow. Full access: can create and edit processes, manage users, groups and configure the company.

  • Create and edit any process
  • Manage users and groups
  • Full access to the Global Map
  • Manage subscription and licences
C

CREADOR

Can create and edit processes within their group. Ideal for process managers in each department.

  • Create and edit group processes
  • View Global Map (depending on group type)
  • Export diagrams
  • View version history
V

VISUALIZADOR

Read-only access. Can view their group's processes, access hyperlinks and export. Cannot create or modify anything.

  • View group processes
  • Access node hyperlinks
  • Export diagrams

Group types

Organisational Group

Members see all processes in the company on the Global Map. Processes from other groups appear with a padlock.

Ideal for

  • Departments with cross-functional vision (Management, Quality)
  • Teams that need to understand the global context
  • Process managers who collaborate across departments

Restrictive Group

Members see only the processes assigned to their group. The rest of the processes are completely invisible to them.

Ideal for

  • Departments with confidential processes
  • Teams that only need access to their own processes
  • Companies with clients or partners with limited access

Create and manage groups

Create a group
  1. 1Go to the panel → "Groups" section.
  2. 2Click "New group".
  3. 3Enter the group name (e.g. "Sales", "Finance") and choose the type: Organisational or Restrictive.
  4. 4Save the group.
Assign users to a group
  1. 1Open the group you want to manage.
  2. 2Go to the "Members" tab.
  3. 3Click "Add member" and select the user from the list.
  4. 4The user will immediately see the group's processes in their panel.
Assign processes to a group
  1. 1Open the group you want to manage.
  2. 2Go to the "Processes" tab.
  3. 3Click "Assign process" and select the processes that should belong to this group.
  4. 4Changes are immediate.
